Refund and Cancellation Policy

This policy explains how to cancel your Ubik subscription, what happens to your account and data when you do, and when you may be eligible for a refund. This policy is part of the Terms of Service between you and Ubik, Inc., a Delaware corporation headquartered in New York, New York ("Ubik," "we," "us," or "our").

1. How to Cancel

You may cancel your subscription at any time. To cancel, log in to your account at app.ubik.studio, go to Settings, then Subscription, and select Cancel Subscription. You will receive a confirmation email. You may also cancel by emailing info@ubik.studio with your account email address. We process cancellation requests within one business day.

If you subscribed through the Apple App Store, Google Play Store, or Microsoft Store, you must cancel through the respective store's subscription management interface, as those platforms manage your billing directly.

2. What Happens When You Cancel

Immediately upon cancellation: Auto-renewal is stopped and you receive a confirmation email. Your access to paid features continues until the end of your current billing period.

After your billing period ends: Your account transitions to read-only mode. You may view existing data and export your content for 30 days. New content creation, AI generation, and cloud sync are disabled.

After the 30-day grace period: Your data is retained in our systems for an additional 60 days but is not accessible to you. After 90 days total, your data is permanently deleted from our active systems.

What we retain after deletion: Payment records (seven years, as required by law), anonymized analytics data, and support ticket history (three years).

3. Exporting Your Data

We recommend exporting your data before canceling. Go to Settings, then Data and Privacy, then Export. You may select what to export (projects, datasets, settings) and choose a format (JSON, CSV, or full archive). You may also export during the 30-day grace period after your billing period ends.

4. Refund Eligibility

4.1 Full Refund

You are entitled to a full refund if you cancel within 14 days of your initial purchase (first-time subscriptions only), if you were charged due to a billing error or duplicate charge, or if an unauthorized charge was made on your account (reported within 60 days of discovery).

4.2 Partial or Pro-Rated Refund

At our discretion, we may offer a pro-rated refund for annual plan cancellations after the initial 14-day period, downgrades from a higher tier, or extended service outages that materially affected your use.

4.3 Not Eligible

Refunds are generally not available for monthly subscriptions canceled after 14 days, subscriptions that have been extensively used before the refund request, accounts terminated for violation of our Terms of Service, dissatisfaction with AI output quality (which is inherently variable), or features functioning as documented.

5. How to Request a Refund

For refund requests within 14 days of initial purchase, go to Settings, then Subscription, then Billing History, and select Request Refund. Eligible first-time refunds are processed automatically.

For all other refund requests, email info@ubik.studio with your account email, the date and amount of the charge, and the reason for your request. We will respond within two business days.

If you purchased through the Apple App Store, Google Play Store, or Microsoft Store, refunds are handled by those platforms according to their respective policies.

6. Refund Processing

Refunds are issued to the original payment method. Credit and debit card refunds typically appear within five to ten business days. PayPal refunds appear within three to five business days. If the original payment method is no longer available, we will contact you to arrange an alternative.

7. Subscription Pause

Professional plan subscribers may pause their subscription for one to three months instead of canceling. During a pause, no charges are incurred and your data is preserved. You may pause up to two times per year. To pause, go to Settings, then Subscription, then Pause Subscription.

8. Reactivation

If you reactivate within 30 days after your billing period ends, your data is restored immediately upon subscribing to a new plan. Between 30 and 90 days, contact info@ubik.studio to request data restoration; we will restore it within 48 hours of resubscription. After 90 days, data has been permanently deleted and cannot be recovered.

9. Payment Failures

If a payment fails, we retry the charge and send you a notification. If payment remains unsuccessful after 14 days, your subscription is suspended. After 30 days of non-payment, your account moves to cancelled status and the data retention timeline in Section 2 begins. Update your payment method at Settings, then Billing, to avoid interruption.

10. Price Changes

If we increase subscription prices, your existing subscription is honored at the current rate until your next renewal. You will receive at least 30 days' notice before a price increase takes effect. You may cancel before the renewal date to avoid the new price.

11. Involuntary Cancellation

We may cancel your account for violation of our Terms of Service or Acceptable Use Policy, fraudulent activity, or non-payment after the grace periods described above. In these cases, we will provide notice except where prohibited by law or where notice would compromise security. Refund eligibility for involuntary cancellations is at our discretion.

12. Enterprise Subscriptions

Enterprise cancellations and refunds are governed by the terms of your Enterprise agreement. Contact your account manager or email info@ubik.studio.
